JOB DESCRIPTION Role Description / Working Relationships The Office and Data Support Assistant works closely with the Director of Digital & Innovative Learning and the Digital & Innovative Learning Team. He/She helps them to manage their workloads and to make the best use of their time by dealing with secretarial and administrative tasks. He/She also takes the lead on coordinating data for the helpdesk system, asset management system and student information system. Discretion and confidentiality are essential attributes for this position, as will be a full and committed understanding of the mission and vision ofKeystone Academy. Job Responsibilities The responsibilities include, but are not limited to, the following: Interacting with and processing requests from parents, students, staff and other departments via email, calls and in-person. Managing team processes including scheduling and attending meetings, coordinating schedules, keeping minutes and following up on action items. Coordinating booking of innovation spaces and resources. Handling purchasing, inventory, record keeping and tracking of innovation resources, subscriptions and databases. Managing data between Digital & Innovative Learning applications and the school’s student information system. Compiling and reporting of various data. Producing data reports for analysis. Preparing professional reports and presentations using available desktop publishing, graphics, spreadsheet, presentation and word processing software. Translating documents when needed, as well as acting as interpreter at public meetings. Organizing and storing paperwork, documents and computer-based information. Arranging department travel and accommodation for Professional Growth activities. Sending report and claim forms to finance at the end of the month. Maintaining a record of department leaves including reason for leave and provide to HR. Qualifications and experiences: Bachelor’s Degree or above Strong command of both oral and written English, preferably experience working in an English-speaking environment; ability to read, write and speak Chinese. Experience in a school environment is a plus Ability to establish effective working relationships with staff, students and parents Good communication skills Honesty and reliability Good computer skills, especially in Word, Excel and PowerPoint Strong organizational skills and detail orientation Capacity to work independently and meet deadlines Flexibility and the ability to manage a range of different tasks simultaneously.
