Responsibilities
Lead team to oversee end-to-end operation support for the front-end Hong Kong property asset team, including task allocation, priority sorting, work quality control, and team performance appraisal.
Lead the full-cycle management of Hong Kong property-related documents, covering system input based on vendor quotation & contract, report collation, expenses claim support, correspondence drafting/proofreading, establishment and updating of owner/tenant documents, as well as the maintenance and optimization of electronic document repositories (e.g., SharePoint).
Take the lead in the standardization of the shared service centre’s document management system, develop/iterate document processing SOPs and template norms, improve the efficiency of cross-team document flow, and reduce communication costs.

Establish a document compliance review mechanism to ensure all outgoing documents comply with Hong Kong’s Building Management Ordinance and JLL’s internal compliance requirements, avoiding process and legal risks.

Coordinate cross-departmentally, address complex document requests, promote closed-loop problem-solving, and ensure Back Office support does not hinder front-end business progress.

Responsible for team capacity building, including new employee training, professional skill development guidance, and the establishment of a knowledge management system to enhance the overall professionalism and compliance awareness of the team.

Requirements
Bachelor or above in Business Administration, Administrative Management, Accounting or Finance or related discipline 10 years’ relevant working experience in a sizable corporation Managing team size above 15 people second line managing experience required Familiar with accounting ERP MRI system and PC operation Excellent analytical, interpersonal, and English communication skills with all levels of management Cantonese Listening and Speaking is bonus points Ability to perform multi-task, capable to work under pressure and independently, and be a good team player Transition experience and project ability is required. Immediate availability will be an advantage
