Responsibilities
1. Act as the first point of contact for parents and visitors to the site, answering enquiries, showing them the campus and putting them in contact with staff whom they wish to see.
2. Act as a point of contact for parents and visitors who communicate with Dulwich by telephone, e-mail or post, putting them in contact with those whom they wish to see.
3. Ensure that facilities, furniture and material are safe, pleasant to use and available in sufficient quantities.
4. Receive work requests from the staff at the campus, ensuring that they are properly filled out, recorded and followed up.
5. Receive items at the campus (e.g.,water, fruit, snacks, academic materials, mail) and ensure they are delivered to the correct location within the campus.
6. Keep copies of all forms used by Operations, Human Resources and Finance and assist staff to complete them properly.
7. Ensure that invoices particular to the campus (e.g., rent, utilities, water, lunches, snacks, etc.) are accurate and complete before sending to Operations Department for proper signatures.
8. Record monthly staff attendance and overtime and submit reports to Human Resources.
9. Provide first line supervision and quality control for all operational services at the campus, to include cleaning, catering, security, grounds maintenance and shared storage and condition of public spaces.
10. Translate, keep and send out documents from teachers that needed to be sent out to parents and upload to parent portal.
11. Administer petty cash and emergency cash funds.
12. Distribute and collect important documents such as contracts and passports, particularly on behalf of Human Resources.
13. To ensure that all lists (attendance, telephone, allergy, etc.) are up to date and disseminated and manage student files.
14. Liaise with the Operations Department over all site related matters (catering, supplies, furniture and repairs, bus organisation) forwarding any issues raised by parents or campus employees.
15. Collect and forward applications and fees for College goods and services, e.g., DCP, uniform sales, tuition, busses and lunches.
16. Maintain campus staff and telephone lists.
17. Create BR and arrange payment in D365.
18. Support the Head of School in arranging transportation and related logistics.
19. Book rooms for meetings and parent workshops .
20. Act as a key point of liaison between the Head of School and Security, supporting the identification of incidents through CCTV footage and assisting in locating missing or lost students when required.
21. Support the identification of resource needs across the school, including conducting and maintaining resource audits.
22. Provide translation support for the Head of School when required to support clear communication with families and staff.
23. Manage and maintain the Head of School’s diary, ensuring effective scheduling and prioritisation of meetings and commitments.
24. Support the coordination, and organisation of school events.
25. Prepare agendas, take accurate minutes, and follow up on actions for meetings led by the Head of School.
26. Support the school in managing late arrivals and early colections.
27. Monitor students with poor attendance, in line with school policies and procedures.

Skills and Experience Required
5 years of related working experience.
At least 2 years of experience in a related role
Ability to build relationships with DUCKS team
Ability to work with teachers (both expat and local), students and parents. Must be patient and thorough.
Ability to express her/his view on related work openly
Bachelor’s degree required
Good attitude to work, sense of initiative and strong responsibility. A sense of humour is a requisite.
Good computer skills-including Microsoft Word, Excel, ISAMS, Sharepoint, Access and email
Ability to multitask
Language ability-fluent Mandarin Chinese & English
