核心职责:
前台与行政基础运营
·访客与环境管理:访客登记引导、信息同步;对接物业,维护前台及办公区整洁与安全。
·物资与仓库管理:物资(文具/药品/耗材)采购、入库、发放、库存及效期预警;定期清理仓库。
· 员工支持与快递:入职门禁卡、工位、物资配发;快递收发、登记与整理。
·维修与安全管理:故障上报、进度跟踪、验收反馈;配合EHS部门进行安全宣传。
·行政通知与节日执行:撰写发送放假、温馨提示等通知;协助节日活动执行及福利发放。
·费用结算:协助行政费用订单下发与结算。
高管支持(IT/CA/RBB)
·日程与差旅管理:统筹高管日程、会议协调;负责机票、酒店、接送机预订及费用报销。
·活动与报销支持:完成会议、工作坊等活动的对接与餐饮安排;完成票据收集、系统提报与进度跟踪。
部门支持(P&C/IT)
·活动与会议保障:协助生日会、Happy Hour等员工活动执行;支持P&C双月会、IT例会及技术分享会的场地、物料与现场协调。
·采购与费用管理:完成部门零食采购及报销;处理PO单、供应商对接与请款跟进。
·合同与预算支持(P&C):整理培训类供应商合同、系统提报、审核归档;协助部门年度预算数据核对与系统填报。
·日常行政与通知(IT):协助IT部门团建组织、物资协调及信息同步。
任职条件
·教育与语言:大专及以上学历,具备基本的英语读写能力,能使用普通话清晰流畅地进行工作沟通。
·经验资历:拥有1至3年行政相关工作经验,有综合行政、前台运营或高管支持经验者优先,具备跨部门协调经验者更佳。

We are looking for a detail-oriented, efficient, and service-minded Administration Assistant to support our admin team. You will handle front desk operations, executive support, and cross-functional coordination to ensure smooth and efficient daily operations. Your goal is to provide professional, end-to-end administrative support that creates a positive workplace experience for both employees and executives.
Core Responsibilities
Front Desk & General Administration
·Greet and direct visitors, relay information, and coordinate with property management to maintain a clean, safe, and organized front desk and office area.
·Manage office supplies (stationery, medicine, consumables) including procurement, receiving, distribution, inventory tracking, and expiry alerts; perform regular warehouse cleaning.
·Support new hire onboarding (access cards, workstations, supplies); handle courier pick-up, registration, and sorting.
·Report facility issues, track repairs, and confirm completion; support EHS safety awareness activities.
·Draft and distribute internal notices (holidays, reminders, etc.); assist with festive events and welfare distribution.
·Support purchase order submission and payment settlement.
CMT Support (IT/CA/RBB)
·Coordinate executive calendars and meetings; manage flight, hotel, and airport transfer bookings and expense reimbursement.
·Arrange meetings, workshops, and catering; collect receipts, submit reimbursement requests, and track progress.
Department Support (P&C/IT)
·Assist with employee events (birthday parties, Happy Hour, team building); support P&C bi-monthly meetings, IT regular meetings, and tech-sharing sessions with venue, materials, and on-site coordination.
·Handle departmental snack procurement and reimbursement; process purchase orders, liaise with vendors, and follow up on payments.
·Organize training vendor contracts, complete system submissions, track approvals, and archive documents; assist with annual budget data validation and system entry.
·Support IT team building, material coordination, and information sharing.
Qualifications
Education & Language: Associate degree or above; basic English reading and writing skills; fluent in Mandarin.
Experience: 1–3 years of administrative experience preferred. Background in general administration, front desk, or executive support is a plus. Cross-functional coordination experience is desirable.
