【岗位职责】
1. 人事与团队激励
• 人才管理: 负责团队的入离职流程、劳动合同管理及社保公积金统筹。
• 激励落地: 协助老板设计并执行针对咨询师/律师的绩效考核方案、项目奖金结算,提升团队士气。

2. 商务财务配合
• 账单与通知: 配合财务流程,汇总业务数据,精准制作并发放给国际客户的付款通知
(Debit Note)。
• 跨境对账: 协助处理外币账单、回款确认及基础的费用报销初审。
• 数据整理: 维护业务数据表,确保每一笔知识产权官费、服务费清晰无误。
3. 外籍创始人日程与运营支持
• 日程规划: 管理老板的商务行程、会议安排,并处理相关的差旅预订。
• 运营协调: 作为各部门与老板之间的纽带,确保内部信息传递及时、准确。
【任职要求】
• 基本背景: 本科及以上学历,3年以上行政管理或人力资源经验,有律所、咨询或专业服务行业经验者优先。
扎实的人事管理经验: 具备3-5年全模块人事管理实务经验,精通上海地区劳动法律法规,能够独立处理从员工入离职全生命周期管理、薪酬绩效核算到员工关系协调的各项事务,具备处理复杂劳动关系及优化内部管理流程的实战能力。
• 财务素养与细节把控: 对数字极度敏感,具备基础财务常识,能熟练操作Excel或ERP系统进行业务数据汇总,并配合财务流程精准制作英文付款通知(Debit
Note)。
• 语言能力: 英语口语书写流利,能够独立撰写专业、体面的商务邮件与英文账单,对接欧洲及其他国际客户。
• 组织与协调能力: 具备优秀的日程管理与行政统筹能力,能够高效协助创始人安排商务行程及日常事务,作为团队与管理层之间的沟通桥梁。
• 综合素质: 善于理解老板意图,能得体处理员工关系。能够高效排列优先级,抗压性强。

[Core Position]
As a key member of the Intellectual
Property Office, you will directly assist the founder in ensuring the efficient
operation of the company's administrative and HR systems, while also deeply
participating in financial data coordination for the business side. This role
marks a transition from execution to management, suitable for meticulous,
professional, and multi-tasking workplace elites.
【Job Responsibilities】
1. Personnel and Team Motivation
• Talent Management: Responsible for
team onboarding and offboarding processes, labor contract management, and
social security and housing fund coordination.
• Incentive Implementation: Assisted the
boss in designing and executing performance evaluation plans for
consultants/lawyers, as well as project bonus settlements, to boost team
morale.
• Cultural Development: Organize
team-building activities, holiday benefits, and office atmosphere maintenance
to create a "humanized" professional work environment.
2. Business Finance Coordination
• Billing and Notifications:
Collaborate with financial processes to consolidate business data, accurately
prepare, and distribute payment notices (Debit Notes) to international clients.
• Cross-border Reconciliation: Assists in
handling foreign currency bills, payment confirmations, and preliminary reviews
of basic expense reimbursements.
• Data Organization: Maintain business data
tables to ensure clarity and accuracy of each intellectual property official
fee and service fee.
3. Founder's Schedule and Operations
Support
• Schedule Management: Manage the
boss's business trips and meeting arrangements, and handle related travel
bookings.
• Operation Coordination: Acting as a
liaison between various departments and the boss, ensuring timely and accurate
internal communication.
[Job Requirements]
• Basic Background: Bachelor's degree or higher,
with over 3 years of experience in administrative management or human
resources. Experience in law firms, consulting, or professional services is
preferred.
Solid HR Management Experience: Possess 3-5
years of hands-on experience in all HR modules, proficient in Shanghai's labor
laws and regulations. Capable of independently handling the full lifecycle of
employee onboarding and offboarding, payroll and performance calculations, as
well as employee relations coordination. Equipped with practical skills to
manage complex labor relations and optimize internal management processes.
• Financial Literacy and Attention to
Detail: Highly sensitive to numbers, with basic
financial knowledge, capable of proficiently operating Excel or ERP systems for
business data consolidation, and accurately preparing English payment notices
(Debit Notes) in accordance with financial processes.
• Language proficiency: Fluent in English writing, capable of independently drafting
professional and polished business emails and English invoices, facilitating
communication with European and other international clients.
• Organization and Coordination Skills: Possess excellent schedule management and administrative
coordination abilities, capable of efficiently assisting founders in arranging
business trips and daily affairs, serving as a communication bridge between the
team and management.
• Comprehensive Competence: Skilled in understanding boss's intentions, adept at handling
employee relationships with tact. Capable of efficiently prioritizing tasks and
demonstrating strong stress resistance.
