Main Purpose;
This position oversees the full lifecycle management of Sales qualification certificates and authorizations issued to dealers and clients, including collaborating with Sales
teams, guiding them on proper template usage, facilitating approval processes,
resolving issuance issues, maintaining records, and conducting random checks to
verify authorization authenticity.


Accountabilities:


1.
Authorization Template and Process Management


·
Classify and archive
authorization templates under the guidance of Legal department.


·
Update authorization
templates (e.g., adding new brands, updating logos) under the guidance of Legal
department.


·
Provide Sales teams
with the correct authorization templates based on specific business
requirements.


·
Archive and manage
the company’s authorization processes.


·
Update and maintain
authorization procedures.


·
Provide Sales teams
with guidance on authorization processes.





2. Understanding Business Requirements


·
Gather basic project
information (e.g., authorizee name, cooperation details, project timeline,
project specifics).


·
Verify project
background materials (e.g., bidding documents, publicly available project
information).


·
Check if
pre-approval documents for authorization (e.g., signed RCD commitment letters)
are complete and if content matches (e.g., platform name, store name, company
name, authorization period).


·
Confirm if
pre-approval business approvals (e.g., GTMM/Division Head approvals) are
completed as per the process.





3. Authorization Completion, Modification, and Process Guidance


·
Guide Sales teams in
correctly completing and modifying business details in authorizations.


·
Review business
details filled by Sales teams (e.g., authorization scope necessity, alignment
with business background, format, and text accuracy).


·
Identify and report
business issues in authorizations (e.g., cross-regional/cross-channel,
exclusivity, multiple RCDs in the same project) to relevant departments.


·
Identify potential
compliance risks and consult with the Compliance team.


·
Identify potential Legal
risks and consult with the Legal department.





4. Database Management and Maintenance


·
Establish and
maintain an authorization database, responsible for archiving scanned
documents.


·
Use the database to
check for conflicting authorizations before issuing authorization certificates.


·
Query database
information to provide scanned authorization documents as per business needs.


·
Provide
multi-dimensional authorization statistics based on business requirements.


·
For RCDs and
customers ending cooperation, query the database and assist sales in retrieving
all unexpired original authorization certificates.





5. Authorization Verification


·
Proactively audit
authorization information displayed on platforms/customers to verify
authenticity.


·
Notify platforms and
customers of unauthorized or false authorizations.


·
Respond to customer
inquiries regarding authorization authenticity.





6. Training and Q&A Support


·
Provide training on
authorization processes for Sales teams.


·
Answer Sales teams’
questions about authorization content and processes.


·
Receive training on
authorization processes from other functions (e.g., Legal, Compliance).


·
Consult other
functions on authorization content and process-related matters.


Requirements:


·
Bachelor’s degree, major in Law preferred, with experience in service
centers or FMCG companies strongly preferred .


·
Proficiency in basic
Microsoft applications (Excel, Word, PowerPoint, Outlook and others).


·
Ability to read and
write in English (essential), speaking (preferred) and fluency in Mandarin.


·
Strong written and
verbal communication skills, with the ability to articulate ideas clearly
across teams.


·
Ability to navigate
complex business contexts and respond promptly to stakeholder requests.


·
Proven ability to
identify root causes, mitigate risks, and drive solutions in dynamic
environments.


·
Excellent organizational
skills to manage multiple priorities effectively and meet deadlines.


·
High level of
precision and accuracy in work to ensure quality and minimize errors.
