Formally established in June 2022, the Hong Kong University of Science and Technology (Guangzhou)(HKUST(GZ)) is a cooperatively-run university between the Chinese mainland and the Hong Kong Special Administrative Region. HKUST(GZ) has obtained approval from the Ministry of Education (MoE) and become the first legally-independent educational institution co-established by the Mainland and Hong Kong since the announcement and implementation of the “Outline Development Plan for the Guangdong-Hong Kong-Macao Greater Bay Area” and the “Overall Plan for Deepening Globally Oriented Comprehensive Co-operation amongst Guangdong, Hong Kong and Macao in Nansha of Guangzhou”. With a spirit of pioneering innovation, HKUST(GZ) charts new territories in cross-disciplinary education and explores new frontiers in pedagogies, aiming to serve as a role model of the mainland-Hong Kong integrated educational development and become a world-famous high-level university, endeavoring to nurture future-oriented, high-level and innovative talents.
In response to the increasingly complex challenges faced by the rapidly changing world, HKUST(GZ) adopts a brand-new and cross-disciplinary academic structure featuring “Hub” and “Thrust” to substitute the conventional one characterized by “school” and “department”, facilitating cross-disciplinary integration while vigorously developing emerging and frontier disciplines. This is a groundbreaking move in the higher education community across the globe.
Role Summary
The Pillar of Language Education is responsible for delivering comprehensive language education to the entire student body at HKUST(GZ). We offer compulsory courses in Chinese and English, Common Core language courses, professional development workshops for postgraduate students, and co-curricular language activities (e.g., LANG Plus).
We are seeking a dedicated and detail-oriented Administrative Support Officer to provide high-level administrative support for the pillar’s academic operations and student services. The ideal candidate will serve as the first point of contact for student inquiries regarding course registration, waivers, and academic policies, while also supporting the logistics of our diverse teaching portfolio and events.
Key Responsibilities
1. Academic Administration & Student Support
· Serve as the primary point of contact for students regarding language course administration.
· Process and track student applications for course registration, add/drop, course waivers, and credit transfers in accordance with university regulations.
· Maintain accurate academic records, class lists, and grade submissions in the university’s academic system.
· Assist in the scheduling of classrooms and coordination of teaching resources for credit-bearing courses.
2. Program & Event Coordination
· Provide logistical support for the pillar’s language activities and events.
· Liaise with faculty, students, and internal departments (e.g., OSA, CMD) to ensure smooth execution of events.
· Handle procurement, reimbursement, and budget tracking for events and office operations.
3. Faculty & General Support
· Provide administrative assistance to faculty members for teaching purposes, such as teaching material purchasing and coordination.
· Assist in the preparation of reports, presentation materials, and documentation for curriculum development or program reviews.
· Manage the pillar’s general email account, answering routine inquiries and directing complex issues to the appropriate stakeholders.
· Maintain and update the pillar’s official website and related digital platforms to ensure accurate and timely dissemination of course information, event announcements, and academic resources.
4. Other tasks as required based on evolving department needs.

Qualifications & Requirements
1. Education:
· Bachelor’s degree or equivalent qualification or above.
2. Experience:
· At least 1-2 years of relevant administrative experience, preferably in a higher education setting (fresh graduates with relevant internship experience are welcome to apply).
· Experience with student academic affairs (course registration, waivers) is highly preferred.
· Experience in event organization is a plus.
3. Skills & Competencies:
· Bilingual Proficiency: Excellent command of both English and Chinese (Mandarin), both written and spoken. The ability to draft formal correspondence in both languages is essential.
· Communication: Strong interpersonal skills with a service-oriented mindset. Capable of handling student inquiries with patience and professionalism.
· Organization: Strong organizational skills with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management or academic information systems (e.g., SIS) is preferred.
· Teamwork: A proactive team player who can also work independently with minimal supervision.
This is a Mainland appointment, and the appointee will be offered a contract by HKUST(GZ) entity in accordance with the Mainland labor laws and regulations.
